One system, three seats at the table
Hubshift is used by three different groups inside an NDIS provider organisation, each with their own view of the same underlying data.
Scattered systems and audit anxiety, in one place
Most providers are running a roster tool, a compliance spreadsheet and a billing system that don't talk to each other, so nobody has one clean answer to "are we actually compliant right now" without pulling three reports together. Hubshift is the plain fix for that: one dashboard covering every house, worker, budget and claim, so the numbers that matter live in one place instead of three.
Rosters publish only when staffing, qualifications and award rules all check out, so problems get caught before a shift runs, not discovered during an audit. Coordinators and managers see participant budgets, staff compliance and claims status without switching between systems.
- ✓One dashboard across every house and service line
- ✓Cleaner audits with a built in evidence trail
- ✓Claims runs that take about an hour instead of a weekend
- ✓Multi site visibility as the organisation grows
Less paperwork, more time with the people you support
Support work shouldn't mean chasing a certificate deadline, hunting for a client's notes across systems, or finishing a shift and still owing the office paperwork. The Hubshift mobile app is the plain fix: shifts, client details, shift notes and compliance documents live in one app, so the time between visits goes back to actual care instead of admin.
New starters complete induction training in the same app they use for shifts, clocking on and off happens from the phone, and renewal reminders for training and certificates go to the worker directly, not just the office.
- ✓Shifts and shift changes visible in real time
- ✓Clock on and off from the app at the point of care
- ✓Shift notes completed before leaving a visit
- ✓Renewal reminders sent before any document lapses
Knowing what's happening, without calling the office
Between plan reviews it's easy to lose track of who is coming, when, and how the budget is holding up, and the only way to find out is usually a phone call to the provider. Hubshift is the plain fix: participants and families can see who is providing support, when it's scheduled and how the plan budget is tracking, whenever they want to look.
That visibility is what keeps everyone confident about the plan between formal reviews, instead of finding out something changed only once the next review happens.
- ✓Visibility of upcoming scheduled supports
- ✓Plan budget tracking shown in plain language
- ✓Clear visibility of which support worker is attending
- ✓Confidence between plan reviews rather than surprises at them
Whatever seat you're in, Hubshift knows the specific problem
Eight people inside and around a provider organisation, each carrying a different problem. Here is the one Hubshift solves for each of them.
Issue
Feeling personally exposed if something goes wrong, and buried in admin instead of leading.
Hubshift solution
One view across compliance, rostering and claims, so risk is visible before it becomes a problem.
Our why
Built so founders can lead the business, not firefight it.
Issue
Being the bottleneck for every decision, finding out about problems too late.
Hubshift solution
Flagged and pending items surfaced automatically, before they become a scramble.
Our why
Confidence to stop checking everything manually.
Issue
Manually cross checking availability, qualifications and compliance before every shift.
Hubshift solution
A shift cannot be published if a worker's documents or qualifications aren't current.
Our why
A published roster that is actually valid, not just hopefully valid.
Issue
Evidence scattered across five places, only found when an auditor asks.
Hubshift solution
Every check and document logged automatically, audit ready at any time.
Our why
Compliance built into daily work, not reconstructed under pressure.
Issue
Paperwork pulling time and attention away from the people they're supporting.
Hubshift solution
Notes, schedules and documents in one simple app, built for the phone.
Our why
Less time on admin, more time actually supporting people.
Issue
Re entering the same hours twice, then chasing rejected or delayed claims.
Hubshift solution
Approved shifts convert to claims automatically, checked against the current NDIS price guide.
Our why
Numbers that reconcile the first time, not after a chase.
Issue
Not knowing who's coming, when, or how a plan is actually tracking.
Hubshift solution
A clear, accessible view of schedules, supports and budgets, without needing to call the office.
Our why
Built around the person's own choice and control, not just provider convenience.
Issue
Needing proof that a person's actual wishes are being followed, not just paperwork ticked.
Hubshift solution
A documented, accessible trail of decisions, consents and support delivered.
Our why
Evidence of care that's real, not just evidence a box was ticked.

Every SIL house, budget and hour in one view
This is one of Hubshift's dedicated modules. The core platform, rostering, compliance and claims, works the same way across every NDIS service type, SIL just gets this extra layer for house level budgets.
Supported independent living usually means one spreadsheet per house, a separate note for petty cash, and a support coordinator who has to chase all of it down before they can say where a plan budget actually stands. Hubshift SIL Management is the fix: one screen to track every house, its participants, budgets and day to day spending.
Hubshift is NDIS CRM and rostering software built for supported independent living providers, covering every home, participant, plan budget and day to day expense in one place, so coordinators and house managers know where a plan stands without chasing anyone for an update.
- ✓Live plan budget utilisation per participant
- ✓House accounts and petty cash reconciled in app
- ✓Overspend flags raised before they become plan reviews
- ✓One participant record shared across every house they use

Build a compliant roster in minutes, not evenings
Building a roster by hand usually means cross checking every worker's qualifications, guessing at SCHADS award rules, and finding out about a gap only once a shift is already unfilled. Hubshift Rostering fixes that directly: draft, check and publish shifts across every house and support worker from one calendar, in minutes instead of an evening.
Rosters are checked against staff qualifications and SCHADS award rules before they go live, so nothing reaches a shift that shouldn't, and coordinators aren't the last line of defence catching it by hand.
- ✓Copy forward drafts from any previous week
- ✓Award and qualification checks run before publish
- ✓Unfilled shifts broadcast automatically to available workers
- ✓Workers see shifts and clock on from their phone

No current documents, no shift
A worker's certificate lapses, nobody notices until an audit or an incident, and now it's a compliance problem instead of a paperwork one. Hubshift Induction and Compliance stops that at the source: a shift simply cannot be rostered until a worker's training and documents are current.
Induction, training and certification live inside the same system used for rostering, so there is nothing to manually cross check. That gives NDIS providers an audit ready compliance record by default, not as a separate task someone has to remember to do.
- ✓Integrated induction training gates rostering automatically
- ✓Expiry reminders sent to workers, not admins
- ✓Every certificate stored in a worker document passport
- ✓Full evidence trail ready for NDIS audits

Every delivered hour lands claim ready
Claims day usually means re-keying hours by hand, second guessing whether a line matches the current price guide, and finding out about a pricing error only after it's rejected. Hubshift Claims and Billing removes the manual step entirely: approved shifts turn into NDIS ready claim files automatically.
Shifts convert into claim lines coded to the current price guide and validated before export. Providers avoid re-keying hours, catch pricing errors before submission, and replace a manual claim run with a process that takes about an hour a fortnight instead of days.
- ✓Shift to claim conversion with zero re-entry
- ✓Validation against the current NDIS price guide
- ✓Bulk upload files generated for agency managed participants
- ✓Invoices generated automatically for plan and self managed participants

Live in weeks, not quarters
Getting started with Hubshift as your NDIS CRM and rostering platform follows three stages, from moving your existing records across through to claiming and improving on live data.
Four jobs, one system
Everything below is included in every Hubshift plan, priced by staff user rather than by module.
SIL & rostering
Houses, budgets and shifts in one calendar.
Compliance & training
Documents enforced, not just reminded.
Claims & billing
Shifts become validated claim files.
Reporting & insights
One dashboard across every house.

Havi, short for Hubshift Artificial Virtual Intelligence, is a voice-first AI assistant built into the platform, on hand wherever your team is working. On a call, mid-shift, or with your hands full supporting a participant, just speak. Havi can create a shift, check an incident, send a document, check a participant profile, navigate the menu, and search for information, all through simple voice commands, so nothing gets lost while your team is multitasking. Havi does not replace clinical judgement or approvals, it just helps your team get to the answer faster.

Questions providers ask us
These are the questions Australian NDIS providers most often ask before choosing Hubshift as their CRM and rostering platform, covering migration, claiming, data security, worker training and contract terms.
Is Hubshift only for SIL providers?+
No. Rostering, compliance, claims and participant records work the same way for any NDIS provider, whether you run SIL, STA, group programs or one to one community support. SIL providers get one extra dedicated module, house level budget and petty cash tracking, on top of the same core platform everyone else uses.
Do I need to be NDIS registered to deliver SIL now?+
Yes. SIL registration became mandatory from 1 July 2026, and providers already delivering SIL must apply for registration by 1 October 2026 to keep operating. Hubshift's SIL module keeps house budgets, petty cash and audit evidence ready, so getting through registration and ongoing audits is more straightforward.
How long does migration take?+
Most providers are live in two to four weeks. We import participants, workers, plans and documents with you, run a parallel week, then switch over, so you are never without a roster.
Does it handle NDIS bulk claiming?+
Yes. Approved shifts become claim lines coded to the current price guide, validated in app, and exported as bulk-upload files. Plan-managed and self-managed participants get invoices instead.
Where is our data stored?+
In Australian data centres, with role-based access, full audit trails and encrypted backups. You control who sees what, down to a single house or participant.
What do support workers need to learn?+
One app: their shifts, clock on/off, shift notes and documents. Induction happens in the same place, so new starters learn the system while they learn the job.
Are we locked into a contract?+
No lock-in. Plans are month to month, and your data is always exportable. We would rather keep you with a product that works than with a contract that binds.
Does Hubshift follow the NDIS Practice Standards?+
Yes. Care documentation, incident records and audit trails are structured to match what the NDIS Practice Standards require, so evidence is ready before an auditor asks for it.
Where is Hubshift's data hosted?+
All data is hosted in Australia, so participant and staff information never leaves the country.
Is Hubshift SCHADS aware?+
Yes. Rostering checks award rules automatically before a shift can be published, so no shift breaches pay or break requirements without a flag.
Does Hubshift control who can see what?+
Yes. Access is role based, so support workers, coordinators and managers each see only what's relevant to them, and every change is logged in an audit trail.
Does Hubshift integrate with accounting software?+
Yes. Hubshift integrates with Xero, so invoices and claims generated in Hubshift sync through to your accounting without manual re-entry.
How is Hubshift different from other NDIS software?+
Hubshift is built specifically around NDIS Practice Standards and SCHADS award rules, not adapted from generic scheduling software. Pricing is transparent from the start, with real published tiers rather than a demo gated quote, and NDIS ready claiming and compliance tracking are included as standard, not sold as an add on.
Built around the standards NDIS providers are held to
Hubshift's workflows are built around the NDIS Practice Standards and the record-keeping expectations of the NDIS Quality and Safeguards Commission, so the day to day system a provider uses already points toward compliance rather than working against it. Hubshift is not affiliated with, endorsed by, or certified by the NDIS Quality and Safeguards Commission. It is designed to help providers meet the Commission's requirements using their own registration and audit processes.
- ✓Workflows aligned to the NDIS Practice Standards
- ✓Audit ready records for Commission reviews
- ✓Data hosted in Australian data centres
- ✓Built around SCHADS award rostering rules
PARTNERHubshift handles the software. For the compliance, training and registration work that sits underneath it, we work alongside Avela Academy, NDIS compliance and capability partner. Their team supports:
NDIS registration and renewals, the 90-Day Capability Program, operational and systems analysis, support worker and leadership development, provider coaching, and family, school and corporate education programs.
